Do you have a large number of estimates that are marked as active in QuickBooks and want to make them inactive without having to edit each one individually? Going through hundreds of transactions manually and marking them inactive can be very time consuming. The Estimate Tool makes closing old estimates an easy task. It will allow you to select a date range to run a report listing the estimates and also filter the report by active status. The Estimate Tool will also allow you to sort the list by any of the display columns to make finding and selecting a particular transaction easier. The following columns are available for sorting: Ref Number, Date, Customer/Job, Memo, Amount, Active Status, or Transaction Number. To sort the list by any of the columns just click on the column label you want to sort by. From there you can select the estimates individually or mark the entire list all at once. Then choose an action to perform: make active, make inactive, or delete. When you have selected the estimates you want to modify, click the Process Estimates button and let the program make them inactive or active or delete them. Make sure to start QuickBooks and open the data file you wish to work with. Then start the Estimate Tool and select the date range for the estimates you want to work with. When you click the Get Estimates from QB button in the tool, QuickBooks will prompt you for permission to allow the tool access to the data file as indicated in the following screen shot of QuickBooks asking for authorization. Select one of the options to allow the utility access to the QuickBooks file and follow through the screens until you see the Access Confirmation screen and click Done.
After you have granted access to the Estimate Tool you then select the estimates you want to work with, select an action to take with the estimates and then click the Process Estimates button. You can select all of them at once or individually. The list can be sorted by a column by clicking on header for that column. You can also double-click on any estimate in the list to bring up the edit estimate window in QuickBooks.
